A Photos Library with 1TB of photos and videos will clearly not fit onto the internal drive. If your sister enables "Optimize Storage" for iCloud Photo Library, all photos will upload to iCloud Photo Library. Photos will remove the originals for older photos from the internal drive and only keep smaller, optimized versions, until the library will fit.

 

Time Machine can backup the optimized library, but your sister will not have backup copies of the optimized photos, that are only in iCloud. The Time Machine backup will save the library structure - the albums, metadata, edits, but restoring the library from Time Machine will not restore the originals, that are only in iCloud. It is essential to keep a backup copy of each original photo that has been imported to an optimized iCloud Photo Library on an external drive. Otherwise it will not be possible to recover photos, that accidentally have been deleted and are no longer in the iCloud Photo Library.

 

So, if you want to use iCloud Photo Library for the new Mac, keep the Photos Library on the internal drive, get an external drive or a working Time Capsule for Time machine backups, and a separate external drive for a backup copy of the library and the original image files.

To make the migration of the Photos Library to iCloud,

  • copy the library to an external drive formatted MacOS Extended (Journaled). 
  • On the new Mac launch Photos, make the library on the external drive the system photo Library, enable iCloud Photo Library.  Wat for the library to upload to iCloud.  That can take several weeks, depending on the speed of the internet connection. If the old Mac is able to run Photos and iCloud Photo Library, you could try to run the upload to iCloud Photo Library from the old Mac. This way, it will not be necessary to keep an external drive connected to the new Mac for several weeks.
  • Once the Photos Library is in iCloud, you can create a new, empty library on the internal drive f the new Mac, then make this the system Photo Library on the new Mac and enable iCloud for the new, empty library. Enable "Optimize Storage" and wait for the photos to download to the library on the new Mac.

To backup the photos, keep the copy of the Photos Library you copied from the old Mac, then copy each and every new photo your sister imports to the library to the backup drive. Time Machine will backup the library from the internal drive, but I would occasionally make a copy on the backup drive.

iCloud Photo Library will download all photos.  The purpose is to keep the Photos Library in sync and identical on all devices.  So you will see always all photos and videos and albums on all devices.

 

If you use "Optimize Storage" for the Photos Library on your iPhone or iPad, some photos will download in a smaller, optimized version, if you are running out of storage on the device. The smaller, optimized version will be required,  so you can browse the library. But to edit or share the photo, you will have to wait for the full version to download from iCloud.

 

As a rule of thumb, if the library needs 50 GB on your Mac, it will probably need at least 5GB on the iPhone, even optimized.

Hi Larry,

Thanks for responding. I left the computer running for a few days while out of town and came back to upload some photos and that was the error message I got. Unfortunately, I can’t say what may have led up to it but possibly some background updating?

 

Even though the repair said it didn’t work. I restarted my computer and tried again and that time was able to open my Photos app. It makes me a bit weary so I’ll be backing up my photos to an external hard drive now.

When you enable iCloud Photo Library everything in your library is synced to iCloud so if your photos are in your library then they are synced no matter what their source

 

Probably makes sense to sync each IOS device in order then sync the Mac (the Mac sync is the slowest and longest one)

 

Any exact duplicates are detected and only one is kept - and the originals are all on iCloud, each device is independent as to whether it downloads the originals or optimized versions

But if I go to About this Mac  and check on Storage it sure looks like Photos is taking up 169 GB and in Documents the iphoto library is taking up 98 GB, so I would say that moving the iphoto library to an external drive would save a lot of room on my mac.



Yes it looks like it uses double space because of the way hard links work - but as explained it does not

 

and again there is no connection of any sort between a Photos library and the iPhoto library it was migrated from - you can move or delete either with no effect on the other (note that when you move one it breaks the hard links and from then on it really does use all the space it reports it is using)

 

The article linked above tells how things work - basically the hard links are like this - the file exists on disk and two different libraries link to it - no connection between the libraries

It is not accurate that the photo library is linking to it for the photos and that they are only on your mac once?

until you move the library, when you move the library you break the links and then each library uses all the space it reports (as described above)

Looks like a good plan.  I would make the step 5 the first one, however. Disable "Optimize storage" before you consolidate any referenced images. After consolidating they might become optimized, if Optimize storage is still enabled.

 


On her Mac she has chosen a year ago for optimizing the local photo library.) How can I check if this proces is ready?



That is not easy, because Photos does not have an indication, how many photos are still optimized. The process has not finished, if you try to disable iCloud Photo Library and get a warning, that photos have bot been downloaded in full. If you are seeing this warning, cancel the sign-out of iCloud Photo Library.

 

You can speed up the download by creating an album with all photos and videos an then enable "Download Originals to this Mac" for this album.  To enable this flag, select this album with all photos in the sidebar, then ctrl-click this album, and click "Download Originals to this Mac".

If your photos are all in iCloud, you can create a new, empty library and enable it as the system photo library and then your iCloud Photo Library.

when you launch Photos while holding down the options key until you are seeing the Library Chooser dialog, you can click the "Create New" button. Then select your pictures folder as the destination for the library.

 

In the Photos > Preferences > General click "Use as System Photo Library".  In the  Photos > Preferences > iCloud selct "iCloud Photo Library". Now wait for your Photos to download from iCloud.
